Transfer Orders

Transfer Orders are how Peasy tracks inventory moving between locations. The Transfer page is the fast way to stage them; the Transfer Orders page is where you review and manage the orders after they are created.

Transfer and Transfer Orders only appear when Inventory mode is enabled and your company has at least two active locations. If you do not see Transfer Orders in the Inventory navigation, go to Configure > Locations and add or reactivate another location first.

When to Use Transfer Orders

Use Transfer Orders when you want to:

  • Track which carrier is shipping the transfer
  • Add a tracking number for the shipment
  • Set an estimated arrival date
  • Keep a formal record of status changes (created → sent → received)

For fast data entry across many items, start on the Transfer page. For reviewing, shipping, and status management, use Transfer Orders.

How It Works

  1. Start on the Transfer page — Queue up the items you want to move, then click Submit & view order (see Transferring Inventory).
  2. Peasy creates transfer orders grouped by source -> destination and assigns transfer order numbers.
  3. Peasy opens the Transfer Orders page and selects the first new order. You can also return to Inventory > Transfer Orders from the sidebar at any time.
  4. Fill in or update the details:
    • Transfer Order number — A reference number for your records
    • Status — Draft, Created, Sent, Received, or Canceled
    • ETA — When you expect the items to arrive
    • Shipping carrier — Who's handling the shipment
    • Tracking number — The carrier's tracking reference
  5. Update the status as the transfer progresses.

Transfer Order Statuses

StatusWhat it means
DraftPending transfer data that has not been submitted yet
CreatedTransfer order has been created and is ready to process
SentItems have left the source location and are on the way
ReceivedItems have arrived at the destination
CanceledTransfer was called off

You can update the full order's status directly in the table — just click the status dropdown and select the new one. To update one item instead, open the order and use that item's status badge in the right-hand panel.

Viewing Transfer Order Details

Click on any Transfer Order row to open the detail panel on the right side. This shows:

  • The full list of items being transferred
  • Quantities for each item
  • Status of each line item
  • Source and destination locations

Good to Know

  • Transfer Orders create a paper trail for auditing and accountability.
  • Status changes and shipping details are all editable inline — just click to update.
  • Submitting on the Transfer page creates the transfer order. The Transfer Orders page is the follow-up workspace for status and shipping updates.
  • Transfer Orders affect pending inventory first; transfer history entries are recorded as the order moves through later statuses.
  • Transfer Orders work best for moves between locations that involve actual shipping.
