Managing Standing Orders

SellUpdated October 20, 2026 · Reviewed by Peasy Team

A standing order repeats a customer's products and quantities on selected weekdays. Manage it from Sell > Sales Orders using the same order panel you use for ordinary orders.

Create a Standing Order

  1. Open a saved draft or open order with a customer, products, and quantities.
  2. In its Order panel, open Order options (the three-dot menu) and select Make this a standing order below Duplicate order. Save any pending order changes first.
  3. Set Schedule, On these days, and Start date. Add an End date (optional) if needed.
  4. Select Save changes.

Peasy creates a separate standing-order template with a T- number. The original order keeps its dates and always shows a clickable standing-order summary, such as Standing order · every 1 week, that opens the standing order. If its Target Date (or Order Date when Target Date is blank) falls within the selected schedule, it counts as that date’s order; otherwise it stays separate from the scheduled occurrences. An original outside the schedule keeps ordinary order edits; click the standing-order summary to open and change its standing order. Products must use their selling units; sample lines cannot become recurring defaults.

Start date defaults to the order’s Target Date, then Order Date, or today if neither is set. You can change it freely. Orders repeat on the selected weekdays on or after Start date; the start itself does not need to be a selected weekday. No orders are scheduled on or after End date. Leave End date blank to repeat indefinitely. A delivery address is optional.

Find Templates and Dated Orders

  • In Sales Orders, use the Status filter's Standing orders option. Templates have a Standing badge, schedule summary, and Next scheduled date under Target Date.
  • On the Customers table, select the repeat icon and count to open that customer's standing-order list.
  • Open a template number to edit recurring defaults. Open a dated order to work on that occurrence. Dated orders link back to their standing order.

Each schedule stays independent, even when another schedule or ordinary order has the same customer and date. Templates cannot be fulfilled or invoiced; use their generated dated orders for those actions.

Change Quantities or the Schedule

  1. Open the template and edit its products or quantities.
  2. After making edits, use the date picker beside Save to choose an effective date. It defaults to the earliest permitted date after the latest generated order; earlier dates are unavailable.
  3. Select Save.

A recurring change creates a separately numbered replacement standing order. The original stops on the effective date, and both remain accessible. Recurring edits apply only to orders that have not been created yet. Existing orders, invoices, and fulfillments stay unchanged, including cancelled orders. Edit an existing dated order directly when it needs a change.

Changes saved on an existing dated order apply only to that order. Recurring products and quantities stay unchanged. Click its standing-order summary to open the standing order and change those defaults. On the standing order, click the Schedule value to change weekdays or repeat interval. It shows the selected days with the repeat frequency underneath.

To skip a dated order, cancel it using the normal order controls. The cancelled date stays skipped when the standing order is edited; other dates continue as scheduled.

Pause, Resume, or End

  1. Open the standing order and click its Schedule value.
  2. Open the status dropdown beside Repeat every and choose Paused, Enabled, or Disabled.
  3. Set the dates and select Save changes.

Paused lets you set Pause from and an optional Resume on date. Leave Resume on blank to pause indefinitely. Choose Paused again to edit a saved pause. Enabled resumes generation or cancels a scheduled pause. Disabled sets End from; once the standing order ends, create a new one to restart.

Dates default to the earliest permitted date after the latest generated order. Earlier dates are unavailable. These actions affect only orders that have not been created yet. Existing orders, invoices, fulfillments, and cancellations stay unchanged; edit dated orders directly when needed. One current or scheduled pause period is supported.

Set Customer Deadlines

Go to Configure > Storefront > Standing Order Deadlines. Under Customer deadline, open Disabled and choose Enable. Set Days before fulfillment and Cutoff time, then select Save deadline.

Peasy uses your browser’s timezone automatically. The current local time and timezone abbreviation appear beneath Cutoff time for reference.

With the deadline enabled, 0 days means the same-day cutoff. Choose Disable from Enabled to immediately remove the ordering cutoff. Customers must make changes before the cutoff; staff can edit afterward. Recurring changes still begin after the latest generated order.

Resolve Generation Problems

Use Status > Standing order · Needs attention, then open the template to read the problem. Correct the indicated product, pricing, or delivery setup and select Retry generation. You can also select retryable template rows and use the bulk Retry generation action.

Retry queues work for the next hourly run; it does not immediately create an order. If generation is already running, refresh after it finishes. A missed deadline requires staff review and cannot be bypassed with Retry. Changes to existing dated orders must be handled on those orders directly.

Good to Know

  • One schedule uses the same quantities on every selected weekday. Use separate standing orders for different quantities, repeat intervals, or pauses.
  • Peasy creates dated orders automatically in hourly runs for eligible dates within the next seven days, extending that window when notice deadlines require it. Future dates shown on a schedule do not mean all those orders already exist.
  • Generated orders use current customer pricing. Creation does not automatically create invoices, payments, or fulfillments.
  • One-date editing is available for orders that already exist. Creating an arbitrary future occurrence just to edit it is not available yet.
