Reviewing Accounts Receivable
The Invoices page is where you track what customers owe you. Use it to spot overdue invoices, see what is coming due soon, and follow up before balances slip.
How to Get There
Go to Sell > Invoices in the sidebar.
What to Watch
The Invoices table gives you the main Accounts Receivable signals in one place:
- Invoice # — The invoice number
- Customer — Who the invoice is for
- Order # — The sales order the invoice was generated from
- Status — Whether the invoice is Draft or Issued
- Invoice Date — When the invoice was created
- Due Date — When payment is due
- Total — The full invoice amount
- Paid — How much has already been collected
- Balance — What is still outstanding
- Payment — Payment status (Unpaid, Partially Paid, Paid, Overpaid)
The Balance column is color-coded:
- Yellow — Coming due soon
- Red — Overdue
Step by Step
- Go to Sell > Invoices.
- Click the Overdue filter chip near the top to see invoices that are past due.
- Click Coming Due to see invoices that need attention soon.
- Use the search bar to find a specific customer or invoice number.
- Click the Filter button to narrow the list by Invoice Status, Payment Status, or Customer.
- Review the Balance, Due Date, and Payment columns together to understand which invoices need follow-up first.
- Click an invoice number to open the invoice detail panel.
- Open the row actions menu and choose Send Invoice, Resend Invoice, Request Payment, or Record Payment based on what the customer needs next.
A Simple AR Routine
If you want a lightweight weekly routine:
- Open Sell > Invoices.
- Check Overdue first and follow up on anything red.
- Check Coming Due next so you can remind customers before invoices become late.
- Record any payments you have already received so your balances stay current.
Good to Know
- Overdue and Coming Due are based on the invoice due date and remaining balance.
- If online payments are enabled, Request Payment sends the invoice with a payment link.
- A small envelope icon with a count appears when an invoice has already been emailed.
