Viewing Receive History

The Received view shows a log of everything you've already checked in. Use it to look back at past deliveries, verify what was received, correct mistakes, and review costs including freight.

How to Get There

Go to Receive in the sidebar, then switch to the Received (History) view.

What You'll See

Each row represents a single received line with details including:

  • Item Name — What was received
  • Item SKU — The item's SKU
  • Supplier Name — Who it came from
  • Location — Where it was received
  • Received Date — When it was received
  • Received — How many were received (shown as "X of Y" against the ordered quantity)
  • Pending — How many are still outstanding
  • Rejected — How many were rejected, if any
  • Unit — The unit it was received in
  • Unit Cost — The cost per unit at the time of receiving
  • Line Cost — Total cost for the line (unit cost multiplied by quantity). When freight is allocated, a "landed" subtext shows the line cost plus freight combined.
  • Freight Cost — Freight allocated to this line from the bill, shown separately (see below)
  • Supplier Lot ID — The vendor's lot number
  • Lot ID — Your internal lot number
  • Receiver — Who checked it in
  • Note — Any notes added during receiving

Editing Receive History

Most fields in receive history are editable. Click a cell to make changes. Editable fields include:

  • Received date, delivered quantity, and rejected quantity
  • Unit cost and freight cost
  • Supplier lot ID, lot ID, and notes
  • Custom fields (select, checkbox, and signature types)

When you make changes, a floating toolbar appears at the bottom of the table with Save and Discard buttons. Your edits are held in memory until you save, so you can update multiple fields across multiple rows before committing.

Fields that are not editable include item name, SKU, supplier, location, receiver, and calculated fields like line cost and pending quantity.

Freight Cost

The Freight Cost column shows how much freight has been allocated to each received line. This value comes from the bill linked to the receive.

  • When a bill has a freight cost, Peasy distributes it proportionally across the received lines. The cell shows the allocated amount, with subtext displaying the bill's total freight (e.g., "Bill freight: $25.00").
  • You can edit the freight cost on any line to override the automatic allocation. This is useful when one item costs significantly more to ship than others.
  • Editing freight on a received line does not change the bill — it only affects the landed cost for that specific line.

For more on how freight works, see Managing Bills — Freight Cost.

Row Actions

Click the three-dot menu on a row to access additional actions:

  • Print Receive Log — Download a PDF of the receive record (available when a receive log template is configured)
  • Print Received Date Label — Download a date label for the received item
  • Delete — Remove the receive record (inventory is adjusted accordingly)

Filtering History

  • Date range — Look at a specific time period
  • Vendor — See everything received from one supplier
  • Item — Track receiving history for a specific product
  • Location — Filter by where items were received

Good to Know

  • This is a subset of the full Inventory History, which shows all types of inventory changes (not just receives).
  • Receive records include cost and freight information, so you can see what you paid for each delivery and how freight was allocated.
  • You can select multiple rows using checkboxes for bulk actions like printing or updating signature fields.
